RentApp AI is a product of HaloTech AI ("we," "us," or "our"). We operate a cognitive property-management platform that helps small-scale landlords and managers consolidate communications, automate lease management, and maintain financial records.

We collect the following categories of personal information:

• Account Information: Your name, email address, and profile picture provided via Google OAuth when you create an account.
• Property Data: Property addresses, lease terms, tenant names, phone numbers, and financial transactions you enter into the platform.
• Communication Records: SMS and WhatsApp messages exchanged between you and your tenants via our platform.
• Uploaded Documents: Lease PDFs and other files you upload to the platform.
• Usage Data: Pages visited, features used, and session timestamps collected for product improvement.
• Device Information: Browser type, operating system, and IP address collected automatically when you use our service.

We use your information solely to:

• Provide, operate, and improve the RentApp AI platform.
• Power AI-driven features such as lease data extraction, tenant communication routing, and financial categorization.
• Send service-related notifications (e.g., lease expiration reminders, escalation alerts).
• Comply with legal obligations and enforce our Terms of Service.
• Detect and prevent fraud or security incidents.

We do not sell your personal information to third parties. We do not use your data to train AI models or for any advertising purpose.

We process your information based on the following legal grounds:

• Contractual necessity: Processing required to fulfill the service you subscribed to.
• Legitimate interests: Improving platform reliability, security monitoring, and product analytics — balanced against your privacy rights.
• Legal obligation: Compliance with applicable laws and regulations.
• Consent: Where explicitly obtained, such as optional email communications.

We share your information only with service providers who help us operate the platform, each bound by data processing agreements:

• Google Cloud / Firestore: Database and file storage.
• Plivo: SMS and WhatsApp message delivery.
• Resend: Transactional email delivery.
• OpenAI: AI reasoning and language model features.

We may also disclose information when required by law, court order, or governmental authority.

We retain your data for as long as your account is active. If you close your account, we delete or anonymize your personal information within 90 days, unless retention is required by law (e.g., financial records for tax purposes, which may be retained for up to 7 years).

All data is encrypted in transit using TLS and at rest using AES-256 encryption on Google Cloud infrastructure. We implement access controls, audit logging, and regular security reviews. No method of transmission over the internet is 100% secure; we encourage you to protect your account credentials.

Depending on your location, you may have the right to:

• Access the personal information we hold about you.
• Request correction of inaccurate data.
• Request deletion of your personal information ("right to be forgotten").
• Opt out of certain processing activities.
• Data portability — receive your data in a machine-readable format.

We use a single authentication cookie (propflow_token) to maintain your logged-in session. We do not use advertising cookies or third-party tracking pixels. Usage analytics are collected server-side without browser fingerprinting.

RentApp AI is not intended for individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected such information, please contact us immediately.

We may update this Privacy Policy from time to time. Material changes will be notified via email or a prominent banner on the platform at least 14 days before they take effect. The "Last updated" date at the top of this page reflects the most recent revision.
